What is remote support?

Remote support allows LobbyFox's customer success team remote access, remote control, and remote support solutions. It allows us access to devices anywhere in the world and gives our team the ability to control the kiosk and troubleshoot as if they were there with you. Will I need to install, update or worry about print drivers?

Do I need to use authentic labels or can I use any generic label?

If you have a DYMO® LabelWriter® 450 Turbo, our customers have found most generic labels are compatible. However, they will not work on the newer DYMO® LabelWriter® 550 Turbo version which requires authentic labels. Using generic labels in the 550 Turbo printer will cause a paper jam due to the automatic label recognition technology it uses.

Can I reprint a badge if the original is ruined or lost?

Yes!  Your visitor can return the kiosk, tap “check in” and enter their phone number.  The kiosk will remind them that they are already checked in and ask if they’d like to check out or reprint the name badge.  Select “reprint name badge”.

Are there any additional fees for integrations?

Nope! All integrations are included with the standard LobbyFox software subscription.

How do I enable integrations for my location?

When you log in to our management platform, after selecting your organization and location, an option called "Integrations" will be on the left navigation menu. From here, you can enable and disable various integrations.

What if I don’t have many visitors or our staff is working remotely?

Even with very few visitors, you’ll find that LobbyFox still saves your staff a lot of time (and you a lot of money). Additionally, LobbyFox can be super useful if a great deal of your staff work remotely. Notifications can be customized to let visitors know that specific employees (or even departments) are no longer located on-premises, and that the visitor should instead meet with someone else!

Yes! Pre-registered visitors will still check-in at the kiosk to let their host know they have arrived and to receive a badge.

Is this system compliant with various regulations?

In combination with your restricted access lobby set-up, LobbyFox can accommodate all compliance regulation requirements for sign in and out, vetting and orientation, data collection, confidentiality, and record retention. All regulations have slightly different requirements so ask your sales rep for more information about your specific regulation!

How does LobbyFox work?

The LobbyFox check-in kiosk couldn’t be easier to use. When a visitor arrives at your facility, the kiosk instructs them to check in by using the touchscreen. LobbyFox asks them who they are, who they’re with, who they’re there to see, and what the nature of their visit is. At that point, a name badge is automatically printed for the guest, and their host (the employee they’re there to see) is notified via email, text, or both that they have a visitor in the lobby.

What if my company doesn’t have a visitor orientation process yet?

One of the very core features of LobbyFox that our customers love is the ability to automatically turn away unwanted visitors, such as visitors that fail a health screening, in a no-contact fashion. As we like to say, let the LobbyFox kiosk be the “bad guy” that tells solicitors and other unwanted guests that there’s no one that’s going to meet with them!

How can I place my LobbyFox kiosk?

LobbyFox is offered in a number of configurations; as a free-standing kiosk, a kiosk that can be placed on a countertop, or even a version that can be mounted to your wall.

Can LobbyFox serve my visitors safety orientations?

Yes! If you have existing safety videos or documents we can serve those to visitors directly through the kiosk. If you don’t have a safety orientation in place already, we can help you create one! Read more here.

What should I do if my visitor didn’t download the UA in the timeframe?

Log into your LF dashboard, navigate > Visitors > Reports > Search Visitor Name > Select icon to download signed & timestamped doc for visitor.

Can visitors have a copy of the documents that they sign on the kiosk?

Yes! LobbyFox enables visitors to choose to receive a link via text to view and save a copy of the agreement that they signed when checking in. Visitors will receive an eight digit code alongside this link in order to access the agreement, this link expires after eight hours for security.

What are some examples of how to use text blasts?

Text blasts can be used to share information such as company announcements, reminders, birthdays, goal completion etc. See the Employee Engagement page for more information.

Besides my subscription cost, are there any hidden expenses?

Your subscription includes a lifetime warranty on hardware so you’ll never be surprised with an unexpected expense. Your kiosk ships with one roll of Dymo labels. Additional rolls of label will need to be purchased as you use them.

Is the cost of shipping an additional fee?

Shipping is calculated based on weight, size and final destination.  

Floorstands and touchscreens larger than 43” are shipped via freight.

Can QR codes be printed in any size on any material?

Yes, once a QR code is added to your LobbyFox subscription it is up to the customer to decide how they would like the code to be printed and what size fits your needs best!

What languages does the LobbyFox system currently have?

LobbyFox currently includes English, Spanish, French, German, Polish, Italian, and Romanian. We strive to make continual improvements on a daily basis, so if you need LobbyFox in your language, let us know!

Does LobbyFox dynamically translate anything I type in?

No. The kiosk comes pre-loaded with 7 languages in all default settings. If you’d like to customize the text, it will need to be translated. We would be happy to arrange this for you with our provider. The cost is extremely affordable. Ask us about language translation services.

Q:

What’s the difference between the QR code display option and Touchless check-in?

Kiosk display options come with a QR code on the screen as well to give visitors the option of checking in from the kiosk or their smartphone. A QR code display only allows visitors to check-in from their phone or smart device.

Will my IT department have any issues with LobbyFox?

Can visitors see the entire list of our employees or other visitors when checking-in?

Here at LobbyFox, we believe our product should do as much as possible to protect information, as well as the anonymity of our users and your visitors. LobbyFox prevents visitors from seeing who else is visiting your facility, and prevents visitors from being able to see everyone that works in your office.

Does LobbyFox replace my receptionist?

Here at LobbyFox, we don’t necessarily want our visitor management system to “replace” anyone. One of the key benefits of LobbyFox is that it allows your employees that are currently responsible for checking in visitors or conducting visitor orientations to focus on other, much more important tasks. Also, with the automatic dismissal functionality, your receptionist doesn’t have to be the one responsible for an awkward interaction.

What if I have people that visit frequently?

Although new visitors need to be properly oriented by watching videos, signing documents, etc. recurring visitors may not need to be put through the same spiel. Customize the kiosk to recognize returning visitors and only reserve information when you decide it is necessary!

Is there an additional fee to be able to use the LobbyFox employee texting feature?

No! This feature is included with every subscription and could even replace a third-party texting platform.

Q:

Who has access to send text messages through the kiosk?

Only kiosk administrators have access to send text messages through the kiosk. We recommend that admins bookmark the kiosk login on all of their devices so they can reach it as quickly as possible in the event of an emergency.

Can I pull specific reports rather than a report that encompasses every visitor log?

Yes! LobbyFox allows you to pull a report based on the date range, name, kiosk location, visitor type, company or host!

Q:

How does LobbyFox prevent the spread of germs in my office?

LobbyFox allows you to screen visitors before they enter your facility and before one of your employees would interact with them face- to face. Many of our customers implemented health screenings that ask visitors if they are showing symptoms of illness or if they have been exposed to COVID-19. If a visitor fails a health screening the kiosk can politely and discreetly deny their entry. Read more here.

Can I communicate with my visitors through this system?

Behind the scenes, we’ve built a powerful system that administrators can use to communicate with visitors via text message. Text individual visitors, certain visitor types, or everyone currently checked in at your facility!

Where would I put the LobbyFox kiosk?

Generally, our customers place their LobbyFox Check-In Kiosk just inside the main lobby in their office. However, for larger facilities, our customers often have many entrances and exits, which is why we also offer a QR code display option. Because each kiosk can be customized for specific types of visitors, a kiosk in your front office can be tailored to check in visiting executives, your customers, or vendors, while a QR code in your shipping and receiving area can be tailored to check-in truck drivers or contractors.

No problem! The kiosk logic is completely customizable. If certain visitors, like delivery drivers who don’t require an orientation, that step can be skipped. For frequent visitors who don’t need to sign the same documents or watch the same video over and over, customize the logic so they’re only served an orientation once a month, year, or whatever you need!
