Top 5 Myths About Visitor Management…

One of the common misconceptions that we hear from potential clients is, “We don’t have that many visitors.” Although we understand this concern, we often discover during our onboarding conversations that the facility has many visitors, including some that may be circumventing their current process.

A variety of industries commonly use visitor management systems (VMS). But for those who haven’t had the opportunity to use a VMS, there may be some hesitation towards making the change from a paper logbook to a VMS.

Let's take a closer look at how to identify why your facility needs visitor management by addressing five common misconceptions and “myths” that we often hear!

#1 We Don’t Have That Many Visitors

The word “visitor” encompasses everyone who enters your facility that is not an employee. This includes, but is not limited to; contractors, vendors, clients, drop deliveries, job applicants, employees from other facilities, food delivery, scheduled appointments, family members, people visiting onsite resources (clinic, design center, lab, or repair), and even solicitors. The person who comes to refill vending machines in the breakroom may not feel like a visitor, but you may have more visitors than you realize!

Having a VMS in your lobby allows visitors to be independent instead of putting the responsibility onto your employees. Even if your facility doesn’t acquire a ton of foot traffic, with a small number of visitors arriving each week, a VMS will take responsibility off your employees and free up more time to focus on more important tasks.

#3 Visitor Management Systems Take Jobs Away from Receptionists

Our intention is never for a human to be replaced by a kiosk. The Transmission kiosk is the perfect tool to work in conjunction with your receptionist or administrative staff. Managing every visitor that comes through your door can be a lot of work, especially in a facility where visitors must sign the proper legal documents and take the necessary safety training. Your receptionist can manage visitors through the kiosk by viewing visitor reports, sending text messages to visitors or employees, and more. The visitor management system can act as the “bad guy” that turns away solicitors or unwanted visitors rather than your receptionist. Check out this blog for more information on why your receptionist will love Transmission! Your Receptionist or Their Best Friend.

When the kiosk arrives at your facility, all you need to do is plug it in, and you’ll be ready to go.
